The message that gets a yes
A request for a swap succeeds or fails on four things: what you are asking for, when, why in one line, and by when you need an answer. Everything else, especially anything about last time, lowers your chances.
Hi. I have a work event on Saturday 26 April. Could we swap so I have the kids on Sunday 27 instead of Saturday? I can do the usual 5pm drop-off. Could you let me know by Wednesday? Thanks.
Read that again and notice what is missing: no history, no "you always", no explanation of how important the work event is. It states the request, offers something in return, and gives a deadline.

Templates for the common cases
I'd like to propose a change to the schedule from Monday 1 September. My working pattern is changing, and I'd be able to do Mondays and Tuesdays every week instead of alternating. I've put the proposed calendar here: [link]. Could you take a look and tell me what works and what doesn't? I'd like to agree it by the end of the month so we can both plan.

The rules behind the templates
- One request per message. If you have two things to ask, send two messages. Mixed requests get half-answered.
- Dates, not days. "Next weekend" causes more confusion than any other phrase in co-parenting.
- Offer something. A swap, a later drop-off, a lift. It changes the question from "will you do this for me" to "does this arrangement work".
- Put the deadline in the message. It is not pushy; it is how the other person knows the request is real.
- Leave out the reason for the reason. "I have a work event" is enough. Why the event matters is your business.
Keep the record
Whatever the answer, it is worth having the request and the reply in one place with dates on them. Not to win anything, but so that neither of you has to remember what was agreed.
