How to document co-parent communication

A calm, proportionate way to keep a record: what to keep, what to leave out, how to store it, and how to talk about it without it becoming a weapon.

Why keep a record at all

Not to win. A calm, dated record of what was asked, agreed and done means neither of you has to rely on memory, and it takes the heat out of "you never said that". If things ever go to mediation or court, a clear record helps the professionals see the pattern and describe it accurately. Whether any court accepts it, and how much weight it carries, depends on the court, the country and the case; no website can promise that, and you should be wary of any that does.

What to keep

  • Every schedule change request and its answer, with dates.
  • Handover times, especially when they differ from the agreed time.
  • Money: what was asked for, what was paid, when.
  • Health and school information you sent or received.
  • Decisions about the children and who made them.

Keep it factual and boring. "Collected 6.40pm; agreed time 6pm" is a record. "Late again, as usual, clearly doesn't care" is a diary entry, and it will read badly to anyone who sees it later, including you.

What to leave out

  • Your feelings about the other parent. Write those somewhere private.
  • Anything about their new partner, home or lifestyle that does not affect the children.
  • Recordings of phone calls. In many places recording without consent is illegal or inadmissible, and it almost always inflames things. Prefer written channels for anything that matters.
  • Screenshots of their social media. Same reason.

Where to keep it

One channel for everything. The single most effective step. If every request and reply goes through one written channel, the record keeps itself. Texts plus emails plus voicemails plus WhatsApp is how things get lost.

Somewhere with timestamps you did not write. A message thread with times on it is worth more than a notebook with times you added yourself.

Somewhere both of you can see. A record only you hold is an accusation waiting to happen. A shared thread that both of you can read is just what was said.

For things that happen in person, use a short line each time. Print this and keep it by the door, or keep the same columns in a notes app.

How to talk about the record

Do not. Or nearly: the record is for you, your mediator or your solicitor, not for waving at your co-parent. "As per my message of the 14th" in a text is a threat, however it is meant. If a pattern needs raising, raise the pattern once, plainly, with dates, and ask for a change. The message examples show how.
